How to Identify Members Counted in “Active with Billable Contact” Metrics (LEAP Dashboard)

Purpose

This article explains how to identify which members are included (and excluded) in the “Active with Billable Contact” counts shown on the LEAP Dashboard for a specific Care Manager. This process helps reconcile discrepancies between internal tracking tools (e.g., Smartsheets) and LEAP Dashboard metrics.


When to Use This

Use this process when:

  • LEAP Dashboard counts do not match internal tracking systems

  • A Care Manager’s monthly contact totals appear incorrect

  • You need to identify exactly which members are being included or excluded in the LEAP metric


Step-by-Step Instructions (LEAP Dashboard)

  1. In the LEAP Dashboard, navigate to the Panel Characteristics tab.

  2. Apply the following filters:

    • Year / Month → Select the current reporting period

    • Primary CM → Select the Care Manager (e.g., Abigayle)

    • Billable Contact → Select Yes

  3. Once filters are applied, go to the top-right corner of the panel and select the Export option:

    • Click the CSV export icon or the arrows facing each other icon

  4. Export the file to generate a list of the specific members included in the LEAP Dashboard count.



How to Interpret the Results

  • The exported list represents the exact members included in the LEAP Dashboard’s “Active with Billable Contact” total.

  • Compare this list with your internal tracking system to:

    • Identify which members are being counted

    • Identify which assigned members are not included

    • Determine whether exclusions are due to:

      • No qualifying billable contact in the selected month

      • Incorrect Primary CM assignment

      • Member not marked as Active

      • Documentation not meeting billable contact criteria


Common Causes of Discrepancies

  • Contact documented but not flagged as Billable

  • Contact date falls outside the selected Year / Month

  • Member assigned to a different Primary CM

  • Member status not set to Active


Additional Notes

  • LEAP Dashboard metrics only include members with at least one qualifying billable contact in the selected reporting month.

  • Counts update dynamically based on applied filters — always confirm the reporting period and Care Manager selection before exporting.
